Attached (at bottom of this message) is the Auction Seller Registration Form and Labels form. It allows you to register to sell aquarium-related livestock and dry-goods items at our auction, and it generates the Lot No. labels for you to stick on the items you want to sell. Just download the file and fill it in on your computer.
Everyone is welcome to buy or sell fish, aquatic plants, invertebrates, aquariums, or aquarium-related supplies at the NWAAS auction.
You need not be a club or forum member to participate! The auction offers a great chance for you to pick up some real bargains, including rare and home-bred species not normally sold in stores. It is an ideal opportunity for you to unload unneeded fish and supplies of your own! ADMISSION IS FREE!
Get Your Free Seller ID
First, RESERVE YOUR "SELLER ID" IN ADVANCE. Your Seller ID is usually your three initials. (Example: John Jacob Jingleheimer = JJJ.) Reserve your ID by emailing the Auction Chairman at auctions@nwaas.com. The auction chair will confirm your Seller ID, or assign you a different one, in the rare instance where it is already taken. Getting your ID in advance helps in using the computer to print complete forms and labels, and guarantees that someone else hasn't already taken that ID—requiring you to edit your forms and labels to a new one! While you can get your Seller ID at the registration desk on auction day, it is frowned upon. Please request it in advance!
Instructions
We use a PDF fill-in form to create your registration form and the lot labels for your for-sale items. You can SAVE MUCH TIME AND WORK, for you and us, and make the form more legible, BY FILLING IT IN ON YOUR COMPUTER. Just type the information into the fields on the first one or two pages (depending on how many items you have). You only have to type the data once! For example, when you enter your Seller ID, name and email at the top of the form, that information will AUTOMATICALLY populate to all 40 labels where it is also needed. When you create your list of items to sell, that data will automatically populate to all 40 labels where description and quantity are also needed. All labels are autogenerated when you fill in the top two pages of the form. Save and print when done. You can also print the form and labels and fill them in by hand, but it is so MUCH MORE WORK, less legible, and error prone!
1. Bring the the first two pages to us at the auction sign-in desk. They are your registration form. Please also e-mail a copy of your filled-in form to auctions@nwaas.com. This will speed things up by allowing us to pre-enter the data into the computer. We very much hope that you take this extra step!
2. The final two pages will print your item labels for up to 40 items. They print on standard 2-across, 1" × 4" label stock, 20 labels per page, and will work with most label brands (such as Avery 5161 or PRES-a-ply 30601). Be sure to turn off “page scaling,” “shrink to fit,” or similar options in your printer driver, or the printed labels may not line up correctly. Also turn off “duplex,” or “double-sided” printing (or print label pages individually) or the label pages will want to print on the back of each other, instead of on separate sheets. You can also print these labels to plain paper, cut them out yourself, and then tape them onto fish bags, etc. Test to see how waterproof your printer ink is, and tape over the whole label if it is not waterproof, to prevent smudging. If the label isn’t readable, we don’t know who to pay for the sale. Again, if you fill out the form on computer, the labels will AUTOMATICALLY fill themselves in, saving you MUCH time and work!
3. You are responsible for the correctness of your form and labels. Check everything. Missing data may prevent us from paying you.
4. You will also be assigned a Bidder Number when you register, and given a paddle with your bidder number on it, giving you the option to buy items sold by others. Simply raise the paddle to bid. DON'T FORGET TO RETURN THE PADDLE BEFORE YOU LEAVE.

NOTE: These auctions are how the club raises money to pay for the hall, refreshments, supplies, and to bring in outside speakers. NWAAS takes a 30% cut of every sale by nonmembers. NWAAS only takes a 20% cut of every sale made by club members. Being a member here on our forum, or of one of our other online forums, such as Facebook, does NOT make you a club member. You must pay dues, this year, to be a club member. So, if you are not a club member, you might consider joining. It will let you keep an extra 10% of your sales and dues are very cheap. By the way, you can ignore the grayed-out "TOTAL SALES" and "Price Sold" fields when you fill out the form. But you can fill out those fields later, after the auction. When you fill in the Price Sold fields, the TOTAL SALES field will automatically calculate the total for you (before the club takes its cut). You have to do this on computer, of course, to get the auto calculation. But you can also fill in the fields by hand on your copy of the form.
The "Bidder No." field is assigned at the registration desk, as is for internal use only. It has no purpose for the form's workings.
